Minutes, November 2010
Bolton Public Library
Board of Trustees
Meeting November 2, 6:00 p.m.
Program Room

Present: Bob Zak, Chris Sterling
Also present: Kelly Collins, Pam Czekanski
Absent: Roland Ochsenbein

Agenda Items:

Minutes:
The minutes of the October 12th meeting were approved.

FEMA/MEMA Survey:
Kelly and Chris met with Tom Moses, Bolton’s Emergency Management person to review and fill out the FEMA/MEMA survey.

Director’s Report:
Kelly has prepared a draft FY12 budget for review.
The Lego Club met for the first time in October with 32 children attending.
Kelly attended the Friends’ meeting on 10/26.
Bolton Local contacted Kelly requesting Library “co-sponsorship” of a monthly film series. Kelly’s concern is that this may seen as a regular use of the room, which may result in accusations of favoritism from many other groups who were told they could not have regular use of the program room.
The owner’s Project Manager, project engineers, and HVAC contractor will be on site on Nov. 11 to test HVAC settings and experiment with parking lot lighting.

Bolton Library Foundation:
Pam Czekanski contacted the Worcester Community Foundation as an alternative to establishing a stand-alone BPL foundation. The WCF will accept donations for the benefit of the Bolton Public Library, invest the money for us, acknowledge donations, and complete all necessary paperwork for a fee of 1% of our balance. Pam will arrange for a representative from the WCF to attend our next meeting. It is the intention of the trustees to use this to attract planned giving for long-term library projects.

Building/Construction Update:
Apparently, the library received the wrong AC unit. Bob White is still investigating.

Garden Club:
The Garden Club did an inventory of the plants around the library. They also noted the condition of the plants. There are some plants missing.

Other:
Circulation was up 53% over 2009. The internet survey so far has had over 200 responses.

Budget:
A motion was made by Bob, seconded by Chris, and passed unanimously to approve the FY12 budget as prepared by Kelly and amended by the meeting.

The next meeting will be Monday, December 13th at 6 p.m. at the library.

Respectfully submitted, the Trustees,

Robert Zak                      Roland Ochsenbein                       Christine Sterling
